Southampton BIA Board Meeting Minutes – March 2018

Board Meeting: 20 March 2018, Southampton BIA Office

1. IN ATTENDANCE:
Melanie Myers, Mary Lou Hills, Sue Palethorpe, Don Hart, Susan Dollar, Don Matheson, Heather Hyde.
Regrets: Bruce Martin

2. CALL TO ORDER:
The meeting was called to order at 6:35 p.m.

3. DECLARATION OF PECUNIARY INTEREST:
None declared.

4. ADOPTION OF MINUTES:
Moved by: Don Matheson Seconded by: Sue Palethorpe

That the minutes of the January 16, 2018 meeting, there being no errors, omissions or corrections, be adopted.

6. STREETSCAPE COMMITTEE
Mary Lou Hills delivered the report from the March 13, 2018
There is a meeting with the Town next Monday at 1:00 p.m. to discuss the East block. The Streetscape Committee wants further input before the Town holds public information sessions.

There was a discussion about bike racks, including their design and colour. The Board appreciates the efforts of the Streetscape Committee but has concerns about whether the proposed bike rack design will accommodate enough bikes, given the BIA general membership’s desire to have more spaces for parking bicycles.

There is a new banner management team composed of Bruce Martin, Heather Hyde and Elspeth MacGregor.

7. PROMOTIONS/SPECIAL EVENTS COMMITTEE
The Promotions Committee met on March 20, 2018. The meeting focussed primarily on the Huron Shores Run. The BIA will post information about the upcoming Rotary Home Show.

There was a discussion about promotions for the Gran Fondo. Potential decals, etc. for storefronts will be pursued. The BIA wants to ensure that participants in the Gran Fondo are not taking up the prime parking spots in the downtown core during the event.

The Promotions Committee wants to reach out to the Chamber to request more Pumpkinfest activities in Southampton.

Jennifer Cooper has proposed a change $335.00 (from Word Press) year plus her $300 fee. $131.88 plus $19.99 SSL $99 plus $84 for email. $262.00 USD for 3 years. The Board will consider this at the next meeting.

Ads have been arranged in Boomers magazine (April, May, June, September and October, 2018).

8. SCENES OF SOUTHAMPTON
The Scenes of Southampton contest winners will be determined this week. The winner will be announced in April after Easter. Framing will take approximately 2 weeks and the winning photos will be hung in designated places around Southampton.

9. NOMINATING COMMITTEE
A nominating committee for the new BIA board was discussed. Board members will be asked to indicate at the next meeting whether or not they wish to seek re-election.

10. OTHER BUSINESS
The Chamber of Commerce has asked the BIA to discuss a plan for Pride events. Heather will attend on behalf of the BIA.
The BIA must continue to pressure the municipality to deal with derelict storefronts.

11. NEXT MEETING DATE
The next meeting will be on Tuesday April 17, 2018 at 6:30 p.m.
