Southampton BIA Board Meeting Minutes – December 2017

Board Meeting: December 19, 2017, Southampton BIA Office.

1. IN ATTENDANCE:
Melanie Myers, Mary Lou Hills, Sue Palethorpe, Bruce Martin, Susan Dollar, Don Matheson
Absent: Don Hart

2. CALL TO ORDER:
The meeting was called to order at 6:34 p.m.

3. DECLARATION OF PECUNIARY INTEREST:
None declared.

4. ADOPTION OF MINUTES:

That the minutes of the November 21, 2017 meeting, there being no errors, omissions or corrections, be adopted.

5. 2018 BUDGET
The draft 2018 budget, based upon proposals from the Promotions Committee and the Streetscape Committee and Board discussion, was reviewed and various amendments were discussed.

Don Matheson suggested a bike repair station “provided by the Southampton BIA” and related bike support/bike initiatives be added to the beautification section of budget (an additional $2,000.00).

That the draft 2018 budget, as presented and amended, be submitted to Council for approval.

6. STREETSCAPE COMMITTEE
Mary Lou Hills delivered a report from the Streetscape Committee.

7. PROMOTIONS/SPECIAL EVENTS COMMITTEE
Festive Friday on December 8, 2017 report – the horse-drawn carriage rides were cancelled due to the weather. Paul Schendel offered space for kids’ yoga, Little Black Dog donated hot chocolate at Room 797 and Martin’s Home Hardware provided popcorn. There seemed to be a lot of activity on High Street on that night.

8. AGM PLANS
Sue Palethorpe confirmed that the Southampton Legion has been booked for the AGM starting at 6:30 on February 20, 2018. The bar could be open at 6:00 p.m., close for the meeting, and then re-open after the meeting.
A question to be put to the membership at the AGM is: “Should Shopper’s Night be moved to Friday night from Thursday night?”

9. OTHER BUSINESS
The Chair received a request from a ratepayer regarding a fisherman’s net project on the Saugeen River. It was suggested that this individual contact the Chamber of Commerce or Marine Heritage Society as the BIA does not have room in its budget for such an initiative.

A BIA Association National Conference OBIAA is being held in Collingwood in April 2018. It was agreed that it would be beneficial for the Southampton BIA to send a representative to this conference.

That the Southampton BIA allocate $800.00 to send Heather Hyde to the BIA National Conference being held in Collingwood, ON in April, 2018 and to provide $0.45/km mileage.

Bruce Martin has received frequent comments about the appearance of the Carriage House building next to Armen’s. There are four windows that could be wrapped with a plastic material that could include promotional materials. Bruce will approach the owner of the building to determine if the owner would be interested in this proposal for his vacant building.

10. NEXT MEETING DATE
The next regular Board meeting will be Tuesday January 16, 2018 at 6:30 p.m. at the BIA Office.
