Board Meeting: April 18, 2017, Southampton BIA Office

2. CALL TO ORDER:
The meeting was called to order at 6:31 p.m.

That the minutes of the January 17, 2017 meeting, there being no errors, omission or corrections, be adopted.
5. TREASURER’S REPORT
Bruce Martin presented the monthly financial statements.
Melanie Myers proposed that we add a reference in our BIA website about the BIA sponsorship of the Saugeen Shores Trolley.
6. STREETSCAPE COMMITTEE
There was a discussion about the Christmas tree and a future Christmas garden. There are changes planned for the Southampton Town Hall and the Library which will necessitate a review by the BIA.
Heather Hyde reported that banners will be going up mid-May. There are reports that the museum plans to install banners on High Street as well. The position of the BIA is that its members purchased the heritage light lampposts on High Street and the BIA has purchased new banners for High Street and for these reasons, the BIA should have a voice in the positioning of the banners on High Street. Mary Lou Hills will speak to staff at the Town of Saugeen Shores to gather information about the museum’s plans regarding banners and will report back to the board.
7. PROMOTIONS/SPECIAL EVENTS COMMITTEE
Dave Ruddell arranged a meeting of the Promotions/Special Events Committee on April 7th, 2017 at South Street Stables to discuss the Huron Shores Run, Canada Day Weekend, Marine Heritage and other special events. Dave Ruddell will approach some business to see if they will open at 8:00 a.m. on the day of the Huron Shores Run in order to give the sense that the town is open for business and there was a discussion of local restaurants possibly featuring a pasta dinner the night before the run but not a great deal of interest. The Promotions Committee has asked the BIA to approve $500.00 for a radio promotion “Run to Southampton”, promoting Southampton businesses, with a buy-in option for individual business promotion.

That the Southampton BIA approve the purchase of radio advertising for a “Run to Southampton” generic campaign for the Huron Shores Run in the amount of $500.00.
Heather Hyde made a request to Town staff to put up pennants for Canada Day Weekend and Marine Heritage weekend. Canadian flag pennants are being ordered for Canada Day.
The BIA received a quote from Bayberry’s for mesh red and white bows – $10.00-$12.00/bow, depending upon size. They are reusable for a few years unlike the bunting.
The next meeting for the Promotions/Special Events Committee will be held May 11, 2017.
8. 150TH UPDATE
Heather Hyde attended the 150th Committee meeting. They received $20,000.00 from Bruce Power which will be used for fireworks, etc. Heather will approach the 150th Committee at its next meeting to offer BIA support in recruiting volunteers for the 150th.
9. WEBSITE RERPORT
Heather Hyde presented a detailed, comprehensive review of the Southampton BIA website with an action plan for the website. There were 527 unique visitors to the website but this was skewed by “visitors” from the UK and Russia.
Heather proposed a 5-step action plan for the website. The initial steps in the action plan (Steps 1 to 3) will be undertaken immediately. The Board unanimously agreed that Step 4 will be a budget item in the future.
10. WELCOME BROCHURE
A draft “Welcome” brochure for the BIA to present to new businesses was reviewed. The Board wants to meet and greet new business owners and encourage their involvement in the BIA.
For Marine Heritage weekend, it was proposed that the BIA request that Marine Heritage announcers promote businesses in Southampton.
11. OTHER BUSINESS:
The EDAC Committee met last week. The Town’s Community Development Officer is focussing on suppliers to Bruce Power. She set up a meeting with developer and is working on the Saugeen Shores website. Beyond the nuclear sector, investment, development, business retention, affordable housing. etc. are areas of interest.
Saugeen Shores Chamber of Commerce will be staffing the Tourist Information office 6 days a week in June and September and 7 days a week in July to August, 2017.
Sue Palethorpe suggested that the BIA approach the Chamber to offer tours of local businesses to the staff hired to work at the Tourist Information office so they know where to direct people visiting Southampton.
Bruce Martin attended the meeting about the Town Hall and Library redevelopment. The Town Hall Committee is seeking tenders for twinning the Town Hall and the Library.
12. NEXT MEETING DATE
The next regular Board meeting will be Tuesday May 16, 2017 at 6:30 p.m. at the BIA Office.
